How to prepare exam photos, signatures and PDFs that pass portal checks
Every year, thousands of applications are rejected \u2014 or worse, silently blocked \u2014 because a photo or signature file didn\u2019t match the notification\u2019s pixel size and KB limits. Most applicants visually resize a photo and guess the rest. This guide walks through the format rules that actually matter, and how the compressor above checks every one of them for you.
The four checks a portal performs
- File type. JPG/JPEG is still the safest format for photos and signatures; PNG is often rejected outright.
- Pixel dimensions. Exact or minimum width and height, e.g. the widely-used 200 × 230 px photograph format.
- File size. A KB range like 20\u201350 KB \u2014 both under- and oversized files fail.
- Content sanity. The image should actually contain a face (or signature), on a light background, and not a screenshot of the previous photo.
Why \u201ccompressing\u201d fails when done by hand
Painting apps save JPEGs at whatever quality they feel like. A 3000 × 4000 px phone photo resized by eye to 200 × 230 often still lands at 90\u2013150 KB, while \u201csave at low quality\u201d over-compresses to grainy 12 KB mush. Knocking a file into a 20\u201350 KB window reliably needs the iterative approach this tool uses: try a quality, measure the bytes, narrow the search \u2014 until the file lands in range.
Photography tips for a passing photo
- Shoot against a white/light background with even, front lighting \u2014 no shadows or glare on your face.
- Keep your shoulders fully visible and your face centred, covering about 60% of the frame.
- No hats or sunglasses; religious headwear is allowed if the face remains fully visible.
- Avoid cropping a selfie or passport scan \u2014 the portal compares your photo with your exam-day capture.
- If your phone saves HEIC files, let this tool convert them \u2014 portals almost always require JPG.
Certificates and the 200\u2013300 KB PDF wall
Many portals cap certificate PDFs at 200 KB to 1 MB. A phone scan of a marksheet is often far larger. The Certificate slot here re-renders each page locally and re-encodes it against your target limit \u2014 typically bringing 3\u20135 MB scans down to portal-friendly sizes with readable text. Files already under the limit are kept untouched.

When a limit changed, re-run the files and re-check the pass labels \u2014 five minutes before submission saves weeks of correction later.
